Minutes of Meeting

Kent Memorial Library Commission

June 12, 2012

Lynne Cigal called the meeting to order at 7:01 P.M.

I Roll Call

Present: Michael Alexopoulos, Mel Chafetz, Lynne Cigal, Sam Coatti, Joe Grimard, Claire Kawalec, Bruce Rietberg, and Bob White

Absent: David Battle, Jason Lobo, Chris Rago, and Joyce Wilson

Also Present: Library Director Jim McShane

II Public Participation

Art Sykes delivered a letter from the Historical Society.

III Minutes

Sam Coatti made the motion, seconded by Claire Kawalec, to accept the May 8, 2012 minutes with one correction: Bob White, not Joe Grimard, made the motion to accept the April 10, 2012 minutes. The motion passed unanimously.

IV Communications Received

The letter Art Sykes delivered from the Historical Society requested more convenient access to records, especially items previously housed in a glass case that are now in a locked closet. Those present discussed this appeal and determined, at Jim McShane’s request, to leave the resolution of this issue to the Library Director and his staff.

V Report of the Director

Jim McShane gave a report covering highlights since May.

VI Standing Committees

Mike Alexopoulos distributed a May 31, 2012 summary of KML fund balances and reported that the June 30 accountant’s statements would be prepared over the summer and made available in the fall.

VII Unfinished Business

Patrick McMahon presented architectural renderings, CDGB construction cost estimates, and two related letters for the proposed ADA changes to the library. The $1,022,000 estimate includes a $40,000 architectural study. He stated that this detailed study would be key in applying for grants and make those applications more credible. Mr. McMahon has already applied for a $500,000 grant and expects a decision by late fall. Other possible sources for financial assistance could come from Historical Restoration, the Hartford Foundation for Public Giving, and the town of Suffield. Sam Coatti made the motion, seconded by Michael Alexopoulos, to approve up to $40,000 for the design study. The motion passed unanimously.

VIII New Business

The Library will participate in Suffield-on-the-Green on Saturday, September 8, 2012. Since the fortieth anniversary of the Kent Memorial Library falls in August, the Library’s birthday will be this year’s theme. Sam Coatti made the motion, seconded by Claire Kawalec, to approve up to $1,000 for Suffield-on-the-Green. The motion passed unanimously.

On behalf of the Library Commission members, Lynne Cigal presented Jim McShane with a painting and pen in appreciation and acknowledgement of his effort and dedication in dealing with all the changes associated with the Library’s closing, move, and reopening.

The next meeting of the Library Commission is September 11, 2012.

IX Adjournment

Bruce Rietberg made the motion, seconded by Claire Kawalec, to adjourn at 9:08 P.M.

Respectfully submitted,

Bruce Rietberg
